    One of UK’s most prestigious media companies required a holistic solution for managing various aspects of their high traffic jobsite visited by millions of users each month.

    The requirements were:

    Process job listings which they receive in various formats:The text would have to be captured, spelling mistakes corrected, job copy formatted into a standard structure, and mark-up HTML tags applied.     Scrape jobs from various websites and post them on to the client’s platform. This was a two step process with automatic remapping of some data fields along with a manual quality check to ensure everything was in compliance with the client’s site. The scraped listings also needed to be synchronized on both sites. Any changes to the listings on the scraped site were to be reflected on the client’s site. New jobs were to be added, expired jobs removed and modified jobs updated.

    Process job feeds via API and post them on to the client’s site. Similar to jobs scraping (point 2), the client’s site needed to be synchronized with the listings in the feeds i.e. new jobs added, changes updated and deletions removed from the site.

    Optimise listings – on a daily basis all new listings were to be reviewed and optimised to improve response rate. This required careful evaluation of the job copy and ensuring all possible relevant industries and job roles were assigned, the contact details removed from the copy and placed in the appropriate fields, ensuring the “how to apply” external links were working and landing on the correct page, the job location correct, listing properly formatted, and other data fields appropriately populated.

    Send targeted email alerts using the candidates database. This involved building data queries to target qualified candidates for any particular job. This required reading the job description and creating an appropriate data query to pull the most relevant candidates for that role. This was a build, test, and fine tune process. The data queries could not be too broad to include irrelevant candidates yet not too narrow to pull just a handful.

    Challenges

    The team needed to have a very clear understanding of all of the data fields of the job board, especially the subjective ones like Job Industry, Job Role, Job Function, and understanding of locations (towns, counties).

    The volume could fluctuate drastically. Some months it would double the average volume, other times it would scale down to half.

    Regardless of the volume, all of the functions were to be performed within the same day. The client could not afford any mistakes in the entire process. Mistakes would erode their client base. There was no room for errors.

    Each and every activity was to be recorded.

    The technical specifications could change periodically not only for the jobsite but also the sites that were to be scraped and the feeds which were to be processed.

    Solution

    There were two main aspects of the project i.e. human resources for production and technical expertise to manage the IT areas of the project. Software applications and tools were to be developed to manage the workflow, communicate with the jobsites’ APIs, scrape data from the affiliated job boards, accept and process feeds, post data to the client’s site etc.

    We put together a team that had the required academics, analytical, technical, and language skills.

    Due to the vast variations in the volume of work, it was decided that a core team will be assigned to the project while keeping a provision to pull additional resources when required.

    In consultation with the client, the team was put through a rigorous training program.

    To ensure quality, the project was assigned a dedicated QA team. Each and every record was double checked for accuracy and compliance with the client’s requirements.

    A technical team was dedicated to the project to evaluate which of the company’s existing systems could be used to support the project, which systems were to be developed from scratch, and which other tools were to be utilized to make the process more efficient.

    A project roll-out plan was developed, shared, and approved by the client.

    All technical and human resources arrangements were addressed within the timelines of the project plan.

    By the live date, all systems were developed, tested and implemented. The project teams were fully trained, had run a successful parallel test. The team and the process was approved by the client. The project went live on time.
